Job Description

CrossBoundary Group is recruiting an Administrative Assistant to facilitate the efficient operations of the Bogotá office by performing a variety of administrative, clerical, and basic financial tasks. The ideal candidate will be a proactive problem solver with excellent communication skills and attention to detail. We are looking for a candidate who is interested in the opportunity to work closely with senior leaders and ensuring smooth local operations to empower a successful and growing team. Additionally, candidates must have a solid working knowledge of office processes, computer software, and electronic communication tools. This role is responsible for responding to ad hoc requests, coordinating projects, and managing business tasks such as filing, copying, researching tech issues, and organizing logistics.

Primary Responsibilities

General Administration: 

  • Manage the arrival/greeting of our visitors to our Coworking Office, answer inquiries, and create a welcoming environment. 

  • Process and direct mail and incoming packages or deliveries. 

  • Perform a range of staff and operational support activities; serve as a liaison with other departments on essential administrative and operational matters. 

  • Arrange meetings and conferences, schedule interviews and appointments, and perform other duties related to maintaining one or more individual schedules; make travel and lodging arrangements, either directly or through travel agencies. 

  • Carry out administrative tasks such as filing, typing, copying, binding, scanning, etc. 

  • Order, stock, and distribute office supplies. 

  • Organize all shipments to ensure timely deliveries (e.g. swag items, team care packages) 

  • Organize and supervise other office activities (e.g. event planning, in-office team lunches). 

  • Track and improve office equipment by performing preventive maintenance requirements. 

  • Perform miscellaneous job-related duties as assigned. 

Executive Support: 

  • Serve as an Executive Assistant for 2 senior leaders in the region. 

  • Preparation of monthly expense reports, or as often as is needed. 

  • Manage highly active daily schedules and organize meetings, including scheduling, sending reminders, and organizing catering when necessary. 

  • Assist with travel arrangements for the Bogotá-based leadership team by procuring options for flights, hotels, on-the-ground logistics and other travel arrangements. 

  • Prioritize conflicting needs and handle all matters expeditiously and proactively. 

  • Manage a variety of special projects for the LAC Leadership team (comprising 4 total members, 2 of which you will support) as needed. 

Qualifications

The ideal candidate will have the following skills and qualifications for this role: 

  • Ability to work and communicate effectively in English and Spanish. 

  • Bachelor’s Degree in a relevant field. 

  • Excellent in written and verbal communication, customer service and interpersonal skills. 

  • Proactive problem-solver and possesses a meticulous attention to detail. 

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly.  

  • Proven ability to work in a fast-paced environment and stay calm under pressure. 

  • Solid working knowledge of office processes, computer software (Microsoft Office Suite), electronic communications tools (Slack), and knowledge on expense platforms (Concur) and related processes. 

  • Strong ability and dedication for maintaining a vibrant office culture.

Location

The ideal candidate will join our team in Bogotá, Colombia. The person will work closely with Regional Administration Manager based in USA.
